Clan-Ops Notes Joining a Department In an effort to improve participation and the overall quality of each department, there will be a cap on how many departments a member can be a part of. The breakdown goes like this: Not in Clan-Ops and not a Department Head/Co-Head: Max of 3 departments Member of Clan-Ops and not a Department Head/Co-Head: Max of 2 departments Member of Clan-Ops and a Department Head/ Co-Head: Max of 1 Department in addition to what Department you’re the Head/Co-Head. All department applications should include a question about what Departments the applicant is currently a part of and what departments they have pending applications for •CoC Appropriate When encouraging our members to change their gamer tag to reflect KSI it is important to also emphasize that using anything deemed offensive or inappropriate does violate CoC. We want to ensure that everyone that is representing KSI, is doing so in a positive manner. We do not discriminate against race, gender, or culture and we hope that our members carry the same belief. •KSL Tags With the current attempts of poaching from CoC using Gamer tags that start with KSl (KS“L”), We have decided that it would benefit all of the divisions to eliminate any new possible attempts. Clan-OPS: **Discord Server (Division Leaders)** • Roles and channels have are in the last stages of finalization looking for a volunteer division to beta test the new system. Server will be updated with the new system sometime next week most likely Monday or Tuesday. After about a week of beta testing we will start to rollout the new system community-wide. **Lockdown Procedures (Division Leaders)** • When divisions go on lockdown they should not only be notifying their director but also getting any lockdown procedures cleared by the senior team. This includes upping gamerscore requirements or age restrictions etc. If your division turns down any recruits that would otherwise be allowed to join KSI based on community standards you MUST send them to the join area. Any generals or 7s staffs not doing this can be subject to review of their lockdown procedures leading up to but not excluding overturning any decision made by a divisional 7s staff in regards to lockdown procedures. **Job Title Update** • KSI Greg 7 has moved to Chief Knowledge Officer on the Board of Directors. **Reminder of the Conflict of Interest policy** • “Conflict of interest” means when the K.S.I.’s interest in securing objective performance of instructional, evaluative, supervisory, or other responsibilities conflicts with the personal interest, in the outcome, of the individual carrying out such responsibilities. Such conflicts of interest arise when an member is involved in a sexual or romantic relationship with another K.S.I. member whom s/he directly supervises, teaches or evaluates; when an member lives with another member or student whom s/he supervises, teaches or evaluates, whether or not those individuals are involved in a sexual or romantic relationship; or when an member is involved in any relationship with another member or student whom s/he supervises, teaches or evaluates, such that the K.S.I.’s interest in securing objective performance of instructional, evaluative, supervisory, or other responsibilities conflicts with the personal interest, in the outcome, of the individual carrying out such responsibilities. All instances of a Conflict of interest should be reported to the highest leader of the division and everything will be done to ensure that both members will still be able to have their desired future in this community and avoid any future issues, These relationships are not discouraged but for the safety and well being of the community and the participants that it be disclosed and addressed prior to any issues arising. Discord Server We will begin testing the discord role system this week. We will be getting with the divisions that volunteered this week and begin implementing the new channels, roles, and categories. Divisional Transfers It’s important that all division leaders or the highest ranking within the division stay on top of the divisional transfer area. There was a high build up in the past month that was just recently cleared out. Omega There are 142 of the PVTs we have in the community are 2 weeks or longer on the Omega. Make sure your gens are getting with all of these PVTs to get them trained, or are removing them for becoming fluff. This is important to ensure that all members are being communicated with as well as having true numbers. Conflict of Interest (Dating): The conflict of interest policy is in place for the sole purpose of keeping drama out of the squads. Please report any relationship to your leadership in order to avoid conflict, favoritism, or false claims of sexual harassment. This new div-based HoF will act similar to the OTMs and will take place during and leading up to Spring Break and Fall Classic. Each division can have up to 3 members inducted into the HoF per event at a maximum per the AAPs discretion. A forums topic will be created within the next 2 weeks for people to go nominate their choices for Div HoF inductees. There will be a format posted in the topic that all nominations must follow, and each nominator may only nominate one person from the division. The first inductions will be announced the last day of fall classic. Nominations will begin August 20th and last until mid - September. Fall Classic: Fall Classic is right around the corner! A time frame is yet to be set but you can expect a spectacular kick-off to the season with tournaments, streams, Divisional Hall of Fame, and more! Discord: The first beta test has begun and was accomplished without any chats being deleted and most roles just being modified to fit the system. We will have a week of testing and bug fixes, and then we will choose 1-2 more divisions to update. Our goal is to get the role system in every division before September. Divisional Transfers: Make sure that when you are looking at possible transfer to your division that you take into account a few things. First, always pay attention to the volume of transfers you are getting from specific squads or divisions. If you notice an excess number of transfer from a squad or a division to your division that should be investigated. Second, when accepting transfers you should take into account not only the applicants side of why they transferred, but also the divisions. Every applicant should be interviewed and every division leader should communicate openly regarding the transfer whether it is incoming or outgoing. Rejoin and Join Area: If you are a Founder or higher you should check the join area regularly to ensure apps are being commented on and updated. All applicants should be interviewed before a stance is posted. When a member enters the squad (at Private rank) they must wait a week to gain the rank of Corporal. If they cannot within another weeks time, then they are to be labeled as ‘fluff’ and removed. Head-Hunters Poll * Head Hunters is a community wide event designed with the intention of sparking friendly competition amongst the divisions, while giving our more competitive players a venue to show off their skills and represent their divisions. This being said, it is the people of this communities right to have a say in what game / game types they would like to play in or watch throughout the season. Friday (11/9/18) A poll will go live on the forums in which members will be able to vote on which title the first 2019 Head Hunters season will take place on, as well as the ability to express desired game types. The poll will be live for 2 weeks so please encourage all members to vote! Making Decisions * When you are making decisions for your division, there should be a multitude of factors to take in consideration. Make sure that you consult your 7 staff or officer staff depending on your role to get their opinions and views. They are experts on your division/squad as much as you are. Once you come to a decision and plan to roll out the change, make sure to thoroughly explain why you came to that decision. If you can’t defend your decision then maybe it’s not a good decision, it’s your roll to make sure that all decisions made are to better the division backed by solid reasoning. Those explanations will make the process smooth as well as shows your members that you care about them by giving them the time and reasoning. Member Retention * This week, try and find someone in your squad or division to game with that you wouldn't usually! One problem with fast growing squads is that they forget one fundamental thing, recruiting the members is only half the battle, keeping those members engaged and active is just as important as recruiting! New Years Goals: So with the arrival of the New Year, it’s the perfect time to evaluate how your divisions are doing. Take this time to determine the health of your squads and how you can use the resurgence of life into your divisions to your benefit. Make sure training and structure is consistent to help you establish a solid foundation for the New Year. KSI Award Show/ “Of the Years”: Closing out the year, as usual, will be the KSI award show where there will be a 2018 recap, a preview of goals and changes for 2019, and the “Of the Year” winners will be announced. We encourage all members to watch/tune in to the show January 13th at 7 p.m. EST on our live channel. Bring some friends and start up a watch party! Department Notes PERFORMANCE OPS - 2018 was an awesome year and we can’t wait to see what 2019 brings! We would love to help all divisions in KSI reach their goals! Performance Officers will resume operations next week! - Two individuals within Performance Ops put in a huge amount of effort and work during the 2018 year, I would like to officially congratulate KSI December 77 on his appointment to Performance Ops Administrator and KSI Cherry 7 on her appointment to Education Administrator! Both individuals do a fantastic job, and we can’t wait to see what they accomplish this year! - The discussion of the month for January will be going up by Friday so keep an eye out and spread the word! HSI & News have officially split into separate departments. Please wish everyone luck in this endeavour. KSI Greenday 7 is the HSI Co head, KSI December 77 is News Head. HSI As now the month of December is over we are going to need all divisions to post the monthly updates! Reminder that Generals are allowed to post updates for their divisions as well and these are due along with squad evaluations by the 12th of January. Squad evaluations are due by the 12th and all generals (and acting Gens) should be getting messages and coordinating with the HSI rep assigned to your division on getting squad evaluations for December done!
